This Privacy Policy explains what NailMyPay (“we,” “us,” or “our”) collects, why we collect it, and how we handle it when you use NailMyPay (the “Service”). We keep this deliberately plain.
1. Information we collect
We collect only what we need to run the Service:
- Account information— your email address and, if you provide it, your company name. These identify your account and let you sign in.
- Pay-application data— the job and billing information you enter: project and general-contractor details, contract sums, schedule-of-values line items, quantities, percentages complete, and retainage, along with any files you upload, such as signed copies of a pay application.
- Payment information— when you subscribe, our payment processor collects your payment details. We do not see or store your full card number.
- Basic technical data— standard logs such as your IP address and browser type, used to keep the Service secure and working.
2. How we use your information
We use your information to provide and operate the Service: to authenticate you, to generate and check your pay applications, to translate the line items you type, to process your subscription, to send you transactional email about your account, and to keep the Service secure. We do not use your pay-application data for advertising.
3. Service providers we rely on
We use a small set of trusted providers to run the Service. Each receives only the data it needs for its role:
- Cloud infrastructure— authentication, database, and file storage. Your account, your pay-application data, and files you upload (such as signed copies) are held with our infrastructure provider.
- Payment processing— a payment processor handles your subscription and your card details directly.
- Email delivery— an email provider sends transactional messages, such as sign-in and account emails.
- AI translation— when you use the bilingual feature, the schedule-of-values line items you enter are sent to a third-party AI language service to be translated, letting you type in one language and produce a general-contractor-ready result. We send this text only to return your translation.

4. How your data is kept separate
Your data is scoped to your account. We use row-level security so that each account can reach only its own records — your jobs, your figures, and your files are not visible to any other customer of the Service.
5. Cookies
We use a small number of cookies, and only functional ones:
- Authentication cookies — set when you sign in, to keep you signed in and to secure your session.
- Language preference (nmp_lang) — remembers whether you are working in English or Spanish so the Service loads in your preferred language.
We do not use advertising or third-party tracking cookies.
6. We do not sell your data
We do not sell your personal information, and we do not share it with third parties for their own marketing. We share data only with the service providers listed above, only so they can perform their role in running the Service, and only as this Policy describes or as the law requires.
7. Data retention and deletion
We keep your account and pay-application data for as long as your account is active, so your billing history stays intact from one period to the next. If you close your account or ask us to delete your data, we will delete or anonymize it within a reasonable period, except where we need to keep certain records to meet legal, tax, or accounting obligations. 8. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. You can update most of your information directly in your account settings, or contact us at support@nailmypay.com and we will help. We will not discriminate against you for exercising these rights.
9. Children
NailMyPay is a business tool built for contractors and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a minor has provided us information, contact us and we will remove it.
10. Where your data is processed
We operate in the United States, and our service providers may process and store data there. If you access the Service from outside the United States, you understand that your information will be handled in the United States, where data-protection laws may differ from those in your location.
11. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above, and we will provide additional notice if the changes are significant.
